Submit Your Event

Have an event you want to advertise? Follow the directions below in order to have your events listed in our online calendar.

We proudly partner with SceneThink to curate and post events to our calendar. Submissions are reviewed 2 - 3 times a week and will appear on the website calendar within a day after approval. Please note that while most submissions are approved, not every submission is. In order to have your event approved, it needs to take place within Albemarle County or the City of Charlottesville and be of interest to a visitor.

How to Submit an Event

  1. Click https://onebox.scenethink.com/users/sign_up
    If you’ve never submitted an event with us before, create an account and select Charlottesville, VA as the hometown. Add your name and your organization's name. If you've submitted an event before, sign in to your account.

  2. Click the “+ Add event” green button in the top right corner.

  3. Fill in your event title

  4. Add the location of your event

  5. Select a category

  6. Add the start and end times

  7. Summarize your event under “Short Summary.” FYI this section should be a brief overview to hook in visitors. There is a 160 character limit.

  8. Under “Main Description” put all the details on what your event is about and information you want visitors to know. This can be as long as you need.

  9. Add images. You can include media that showcases your event. You are welcome to add up to 10 images. Keep in mind all images will be cropped to fit 1000 x 540px.

  10. Add a link where visitors can find more information about the event.

  11. If applicable, fill in ticketing info under “Tickets.” You are welcome to include different ticket prices.

  12. Submit on the "Promote Your Event" page. You are welcome to push your event to the SceneThink network of other local Charlottesville and Albemarle calendars. Or you can submit just to our calendar by selecting "Specific publishers" and choosing "Visit Charlottesville". Then please standby while an admin reviews your event to be considered for our calendar.

FAQ

Q: What if my venue isn’t listed?
A: You can create a new venue by going “Locations” and then hit “New Location”. Fill out the form and submit. From then on, you and other users will be able to create events at that venue for future listings. Keep in mind, your venue might already be listed, so please check beforehand to avoid duplicates. If your event is virtual, you’ll see plenty of options for how to indicate this in the “Venue” form that have been used before (i.e. “zoom” or “online”)

Q: What if my category isn’t listed?
A: Categories are decided by SceneThink's editorial team and cannot be changed. You are welcome to add more specific details about your event in the “Main Description”.

Q: What does Specific Date vs. Series of Dates vs. Ongoing Date Range mean?
A: Specific Date refers to an event that happens on one day only (eg: January 1, 5-9 pm); Series of Dates refers to an event with recurring dates (eg: January 1, 5-9 pm; AND January 2, 2-6 pm; AND January 3, 10 am-5 pm); Ongoing Date Range refers to an event happening over the course of multiple days (eg: January 1, 10 am–January 3, 5 pm)

Q: How do I know if my event has been approved?
A: Please allow us at least a week to review your event for approval. You can always check the status of your event by logging in and going to the event you created and then clicking “Promote” on the left-hand navigation, which will tell you whether we have approved it or not.

Q: Can I make changes to my event listing, even after it is approved and already on the website?
A: Yes, simply login to your SceneThink account and click the edit button on the event listing. Make the appropriate edits and click "Save and continue". Please check the website calendar the next day to ensure the edit was successful. If there are any issues, please contact our Destination Development team.
